In this role, you will be responsible for supporting our Catering and Events team in providing exceptional service to our guests and clients.   1. Provide administrative support to the Catering and Events team, including but not limited to scheduling appointments, preparing documents, and maintaining records.
  2. Assist with event planning and coordination, including creating event timelines, managing guest lists, and coordinating vendor services.
  3. Communicate with clients and guests in a professional and friendly manner, responding to inquiries and providing information about our services.
  4. Collaborate with other departments within the hotel, such as food and beverage, sales, and housekeeping, to ensure seamless execution of events.
  5. Manage and maintain event calendars, ensuring accuracy and timely updates.
  6. Prepare and distribute event contracts, proposals, and invoices.
  7. Monitor and track event expenses and assist with budget management.
  8. Assist with set-up and breakdown of events, including arranging furniture, decorations, and equipment.
  9. Anticipate and address any potential issues or challenges that may arise during events.
  10. Take notes and minutes during meetings and distribute to relevant parties.
  11. Uphold Hilton Hotels’ standards of service excellence and professionalism at all times.
  12. Stay updated on industry trends and best practices, and make recommendations for improvements to event processes and procedures.
  13. Maintain confidentiality of client and guest information at all times.
  14. Other duties as assigned by the Catering and Events Manager.

Job Qualifications
  • Excellent Organizational Skills: A Catering And Events Administrative Assistant At Hilton Hotels Must Be Highly Organized And Able To Juggle Multiple Tasks And Priorities In A Fast-Paced Environment.

  • Strong Communication Skills: This Role Requires Frequent Communication With Clients, Vendors, And Other Team Members, So The Ability To Effectively Communicate Both Verbally And In Writing Is Essential.

  • Experience In Event Planning And Coordination: A Successful Candidate Should Have Previous Experience In Event Planning And Coordination, As This Role Will Involve Assisting With The Planning And Execution Of Various Events.

  • Proficiency In Microsoft Office And Event Management Software: The Ideal Candidate Should Be Proficient In Microsoft Office, Particularly Word, Excel, And Powerpoint, As Well As Have Experience With Event Management Software.

  • Attention To Detail: As A Catering And Events Administrative Assistant, Attention To Detail Is Crucial. This Role Involves Managing Event Timelines, Budgets, And Contracts, So Being Detail-Oriented Is Essential To Ensure A Successful Event.
