
Catering and Events Administrative Assistant

- Assist in the coordination and execution of all catering and events at the hotel.
- Respond to inquiries and requests from clients regarding event and catering services.
- Maintain accurate and organized records of all event and catering details, including contracts, invoices, and client information.
- Collaborate with various departments such as sales, food and beverage, and housekeeping to ensure successful event planning and execution.
- Prepare and distribute event orders and other necessary documents to relevant departments.
- Coordinate with vendors and suppliers to ensure timely delivery of event materials and services.
- Communicate effectively with clients to understand their needs and provide exceptional customer service.
- Assist in creating and updating event menus and packages.
- Manage event budgets and ensure accurate billing and payment processing.
- Keep track of event RSVPs and assist in managing guest lists.
- Assist in the setup and breakdown of event spaces, including coordinating with the hotel's maintenance and housekeeping teams.
- Participate in site visits and attend meetings with clients to gather information and provide support.
- Conduct post-event evaluations and gather feedback from clients to improve future events.
- Stay updated on industry trends and competition to provide innovative event solutions for clients.
- Adhere to all hotel policies and procedures and maintain a professional and positive attitude while representing the Hilton brand.
