Job Description

We are currently seeking a talented and detail-oriented Catering and Events Administrative Assistant to join our team. In this role, you will play a vital part in ensuring the success of our catering and events operations by providing administrative support to our dedicated team of professionals.   1. Provide administrative support to the catering and events team, including managing calendars, scheduling appointments, and organizing meetings and events.
  2. Assist in the creation and maintenance of catering and events contracts, proposals, and other related documents.
  3. Coordinate and communicate with various departments within the hotel to ensure seamless execution of events.
  4. Manage the guest list and RSVPs for events, and assist in coordinating special requests and accommodations.
  5. Respond to inquiries and requests from clients and guests in a timely and professional manner.
  6. Assist in the preparation and distribution of event materials, such as menus, seating charts, and name tags.
  7. Maintain accurate and up-to-date records and files for all catering and events.
  8. Collaborate with the sales team to promote and market catering services to potential clients.
  9. Assist in tracking and managing expenses for the catering and events department.
  10. Ensure proper communication and coordination with external vendors and suppliers.
  11. Uphold the high standards of the Hilton brand by providing exceptional customer service to guests and clients.
  12. Assist in managing inventory for catering and events supplies and equipment.
  13. Participate in meetings and trainings to stay updated on the latest trends and developments in the hospitality industry.
  14. Adhere to all hotel policies, procedures, and safety standards.
  15. Perform other duties and responsibilities as assigned by the catering and events manager.

Job Qualifications
  • Strong Organizational Skills: A Successful Candidate Should Possess Excellent Organizational Abilities To Effectively Manage Multiple Tasks And Events. This Includes Creating Detailed Schedules, Coordinating With Various Departments, And Maintaining Accurate Records.

  • Excellent Communication Skills: As A Catering And Events Administrative Assistant, It Is Crucial To Have Exceptional Communication Skills To Effectively Interact With Clients, Vendors, And Colleagues. This Includes Both Written And Verbal Communication, As Well As Active Listening Skills.

  • Experience In Event Planning: Previous Experience In Event Planning Is Highly Desirable For This Role. This Includes Knowledge Of Event Coordination, Budgeting, And Vendor Management. Experience In Executing Successful Events Of Various Sizes And Types Is Also Valuable.

  • Proficiency In Computer Software: The Ideal Candidate Should Have A Strong Understanding Of Computer Software, Including Microsoft Office And Event Management Software. This Will Allow Them To Create Presentations, Manage Guest Lists And Budgets, And Prepare Reports And Documents Efficiently.

  • Attention To Detail: Attention To Detail Is Essential In This Role, As Even The Smallest Mistake Can Have A Significant Impact On An Event. The Candidate Should Be Detail-Oriented And Have Strong Problem-Solving Skills To Ensure That All Aspects Of An Event Are Executed Flawlessly.
