Job Description

We are seeking an experienced and highly organized Global Executive Assistant to join our dynamic team at Mars, Incorporated.   1. Provide high-level administrative support to the executive team at Mars, Incorporated.
  2. Manage and maintain complex calendars, scheduling and coordinating meetings, appointments, and travel arrangements for the executive team.
  3. Act as a gatekeeper for the executive team, screening and prioritizing incoming requests and communications.
  4. Prepare and edit correspondence, presentations, and reports for the executive team.
  5. Handle confidential and sensitive information with discretion and professionalism.
  6. Conduct research and compile data for various projects and initiatives as assigned by the executive team.
  7. Proactively anticipate the needs of the executive team and take necessary actions to ensure their success.
  8. Coordinate and collaborate with other administrative assistants and team members to ensure seamless communication and workflow.
  9. Act as a liaison between the executive team and internal/external stakeholders, representing the company in a professional and positive manner.
  10. Manage and track expenses, invoices, and other financial documents for the executive team.
  11. Continuously seek ways to streamline processes and improve efficiency within the executive team's operations.
  12. Serve as a resource for other team members and provide guidance and support when needed.
  13. Stay updated on industry trends and market developments to provide valuable insights and recommendations to the executive team.
  14. Assist with special projects and events as needed.
  15. Uphold the company's values and culture in all interactions and activities.
