
Executive Assistant & Office Coordinator- Vaccines

- Provide administrative support to executives in the Vaccines division, including scheduling meetings, managing calendars, and arranging travel.
- Act as the first point of contact for the office, greeting visitors and answering phone calls.
- Maintain and organize office files, documents, and records to ensure efficient and effective retrieval.
- Manage office supply inventory, order supplies, and ensure the office is adequately stocked at all times.
- Coordinate meetings and events, including arranging catering, setting up conference rooms, and sending out invitations.
- Assist with the onboarding process for new employees, including coordinating orientation and setting up workspaces.
- Monitor and respond to emails and other correspondence on behalf of executives when needed.
- Prepare and edit correspondence, presentations, and reports as needed.
- Handle sensitive and confidential information with discretion and maintain the highest level of professionalism.
- Identify and implement process improvements to increase efficiency and productivity within the office.
- Manage office budgets and expenses, ensuring adherence to company policies and guidelines.
- Assist with the organization and coordination of company-wide events and initiatives.
- Collaborate with other administrative assistants and team members to ensure smooth operation of the office.
- Handle any ad hoc administrative tasks and projects as assigned by executives.
- Maintain a positive and professional work environment and serve as a representative of the company to visitors and clients.
Bachelor's Degree In Business Administration, Communications, Or A Related Field.
At Least 3-5 Years Of Experience In A Similar Role, Preferably In The Pharmaceutical Or Healthcare Industry.
Strong Organizational And Time Management Skills, With The Ability To Prioritize Tasks And Multitask Efficiently.
Excellent Communication And Interpersonal Skills, With The Ability To Interact With Individuals At All Levels Of The Organization.
Proficiency In Microsoft Office Suite And Other Relevant Software, With The Ability To Learn New Programs Quickly.
