- Provide administrative support to the office, including managing calendars, scheduling appointments, and coordinating meetings and events.
- Answer and direct phone calls and emails from citizens, stakeholders, and other government agencies in a professional and courteous manner.
- Prepare and distribute correspondence, memos, reports, and other documents as needed.
- Maintain accurate and organized records and files, both physical and electronic.
- Assist with budget tracking and preparation of financial reports.
- Coordinate travel arrangements and process expense reports.
- Welcome and greet visitors to the office, ensuring a positive and professional experience.
- Collaborate with team members to ensure efficient and effective workflow.
- Order and maintain office supplies and equipment.
- Assist with special projects and tasks as assigned by management.
- Act as a liaison between the office and other departments or agencies.
- Uphold a high level of confidentiality and handle sensitive information with discretion.
- Continuously seek ways to improve processes and procedures to enhance office efficiency.
- Stay up-to-date with government policies and regulations relevant to the office and provide updates to team members as needed.
- Represent the office in a professional manner at all times and uphold the values and mission of the State of California.
Minimum Of 2 Years Of Experience In Administrative Support Roles, Preferably In A Government Setting.
Proficient In Microsoft Office Suite And Other Relevant Software, With A Typing Speed Of At Least 50 Words Per Minute.
Excellent Communication And Interpersonal Skills, With The Ability To Interact With Individuals At All Levels Of The Organization.
Strong Organizational And Time-Management Skills, With The Ability To Prioritize Tasks And Meet Deadlines.
Knowledge Of State Government Policies And Procedures, As Well As Familiarity With Relevant Laws And Regulations.
