
Document Control Specialist
The State of Oregon is looking for a motivated and experienced Document Control Specialist to join our team! We are searching for an organized and detail-oriented individual who is comfortable managing multiple tasks and is eager to learn. The successful candidate will be responsible for ensuring the accuracy and completeness of documentation within the organization’s filing system. To be successful in this role, the ideal candidate should possess a minimum of a high school diploma, preferably with a concentration in business administration or a related field. They should have at least three years of experience in a document control role, as well as knowledge of document management systems, content management systems, and relevant software. The ideal candidate should also possess excellent verbal and written communication skills as well as exceptional organizational and problem-solving skills. Most importantly, the successful candidate should be highly professional and have a keen attention to detail.
Responsibilities:
- Monitor and maintain the accuracy and completeness of all documents in the organization’s filing system.
- Utilize document control systems, content management systems, and relevant software to manage documents.
- Ensure that all documents are properly stored and categorized for easy retrieval.
- Monitor and update document control policies and procedures to ensure compliance with applicable laws and regulations.
- Troubleshoot any technical issues related to document control systems and software.
- Liaise with internal and external stakeholders to ensure document control needs are met.
- Provide training for staff on document control systems and procedures.
- Create and maintain detailed documentation of document control processes.
- Communicate effectively with other departments and stakeholders on document control issues.
- Maintain a high level of professionalism and attention to detail at all times.
