- Provide high-level administrative support to the Dean and leadership team, including managing calendars, scheduling appointments, and coordinating meetings and events.
- Manage all incoming and outgoing communications, including phone calls, emails, and correspondence, and ensure timely responses.
- Maintain confidential and sensitive information with utmost discretion and professionalism.
- Prepare and edit documents, presentations, and reports for the Dean and leadership team.
- Coordinate travel arrangements and accommodations for the Dean and other executives.
- Serve as a liaison between the Dean's office and other departments, as well as external stakeholders.
- Develop and maintain effective systems for organizing and tracking important documents and information.
- Anticipate the needs of the Dean and leadership team and proactively address any issues or concerns.
- Conduct research and gather information to support decision-making and strategic planning.
- Collaborate with other administrative staff to ensure efficient and seamless operations within the Dean's office.
- Participate in meetings and take accurate minutes to document discussions and action items.
- Adhere to all university policies and procedures and maintain a high level of professionalism at all times.
- Continuously seek opportunities to improve processes and systems to enhance the efficiency and effectiveness of the Dean's office.
- Represent the Dean and the school in a positive and professional manner at all times.
- Perform any other duties as assigned by the Dean or leadership team.
Bachelor's Degree In A Relevant Field, Such As Business Administration Or Healthcare Management.
Minimum Of 3-5 Years Experience As An Executive Assistant Or In A Similar Role, Preferably In A Medical Or Academic Setting.
Strong Organizational And Time Management Skills, With The Ability To Multitask And Prioritize Tasks Effectively.
Excellent Communication Skills, Both Written And Verbal, With The Ability To Interact Professionally With A Diverse Group Of Individuals, Including High-Level Executives And Faculty.
Proficiency In Microsoft Office And Other Relevant Software Programs, As Well As The Ability To Learn New Systems And Tools Quickly.
