- Create and maintain event timelines and checklists to ensure all details are executed seamlessly.
- Communicate with clients to understand their event needs and preferences, and provide exceptional customer service throughout the planning process.
- Collaborate with various departments within the company to ensure all event elements are in place and executed flawlessly.
- Build and maintain relationships with vendors, negotiating contracts and ensuring quality services are provided.
- Maintain a thorough understanding of company policies and procedures, and ensure all events adhere to them.
- Conduct site visits and manage event set-up and breakdown to ensure the space is properly prepared and meets the client's expectations.
- Stay up-to-date on industry trends and best practices to continuously improve event planning strategies and processes.
- Manage event budgets, including tracking expenses and providing regular reports to management.
- Troubleshoot and quickly resolve any issues that may arise during events, ensuring a positive and seamless experience for guests.
- Train and supervise event staff, providing guidance and support throughout the event planning and execution process.
- Maintain accurate records and documentation of all event details, including contracts, invoices, and client information.
- Collaborate with the marketing team to promote events and increase attendance and revenue.
- Serve as the main point of contact for all event-related inquiries and provide prompt and professional responses.
- Ensure all events are executed in compliance with health and safety regulations.
Relevant Experience: A Minimum Of 2-3 Years Of Experience In Event Planning Or Coordination, Preferably In The Hospitality Or Entertainment Industry.
Organizational Skills: Ability To Handle Multiple Tasks And Projects Simultaneously, While Ensuring All Details Are Attended To And Deadlines Are Met.
Excellent Communication: Strong Written And Verbal Communication Skills, With The Ability To Effectively Communicate With Clients, Vendors, And Team Members.
